Setting up reconciliation process

For example, let us consider standard process of sequential reconciliation that consists of two stages: a) reconciliation by designers/testers, b) approval by manager/owner. Requirement states are displayed in the table below. Options to set up the transitions are also described there.

In this state documentation development is carried out. For transition to "Reconciliation" state, you can specify roles of participants who can perform such action. By means of a predicate, you can specify that only document author can submit document for approval.

To ensure presence of reconciliation sheet (i.e., fix circle of approving persons), set auxiliary precondition "Reconciliation sheet has been created" for transition to "Reconciliation" state. Transition will not be available until the sheet is created. "Reconciliation" item on "Actions" button allows to create a reconciliation sheet automatically, and after that transition to "Reconciliation" state is performed automatically. You can also perform "Create a reconciliation sheet based on the template” system action on this transition rather than define reconciliation parameters manually.

Make sure to execute "Set this state for all children pages” action to transit all sections of the document simultaneously to status "Reconciliation.

Reconciliation

Provide a return path for document sections to enhance them. Grant this permission only to the document author by means of the corresponding predicate for "Return to work” transition.

For "Reconciliation" status, you must create a transition to the very same state. The reconciliation mechanism for project artifacts works based on this transition. Use "Set this state for all children pages" system action to facilitate process for the reconciliating persons. To enable automatic transmission of all document sections to the next state when all the reconciliating persons from the current reconciliation sheet have completed this sheet, add "Pass to next state when the reconciliation is completed" system action.

"Approval" transition is necessary only for cases, where you have several reconciliation stages performed by different group of persons. Add a precondition for transition to make it unavailable until the reconciliation is completed. Add a system action that closes the current reconciliation (i.e. moves it to archive) automatically, then add an action to create a new reconciliation sheet if you can do it, e.g., based on a template. Otherwise, you'll have to create a reconciliation sheet for this stage and your group of reconciliating persons once again.

Approval Transition settings for this state are similar to the settings for “Reconciliation" state. The only difference is that you don't need to create the reconciliation sheets for "Ready" transition since further reconciliation is not required.
Ready Usually, it's prohibited to modify text of document sections in this state. The state indicates that text is prepared and reconciled.
